Privacy Policy

BowReady ("BowReady", "we", "us") is a turnover-scheduling app for short-term rentals, operated by Aiyanan Inc. This policy explains what we collect, why, and the choices you have. We keep data collection to what the app needs to do its job, scheduling turnovers and notifying the right people.
Who we are
BowReady is operated by Aiyanan Inc., a company incorporated in Canada and based in Alberta. Aiyanan Inc. is the organization accountable for the personal information described here.
Our Privacy Officer answers privacy questions and handles access, correction, and deletion requests: [email protected]. We aim to respond within 30 days.
Information we collect
Account information
- Name, provided by Sign in with Apple or Google when you create your account, or entered by you.
- Email address, from your Apple or Google sign-in, used to identify your account.
- Phone number, optional, only if you add one so a host or cleaner can reach you.
- Role and handle, whether you are a host or a Cleaning Pro, and your shareable connect handle.
Property and scheduling data
- Properties you add, including name, address and location, time zone, notes, and access information you choose to store. When you search for an address, the lookup is powered by Google (see Service providers).
- Calendar feeds, the iCal URLs you connect (e.g. Airbnb, Vrbo). We read checkout dates from these feeds to schedule turnovers. We do not receive guest identities from these calendars.
- Turnovers and assignments, dates, deadlines, status, and who is assigned.
- Completion and report photos, if a cleaner attaches photos to mark a turnover done or flag an issue. Photos are accessed only for this purpose and only when you choose to add them. We keep them with the turnover, and we are moving to automatic deletion 200 days after the turnover date.
- Payment instructions and agreed amounts, if entered, these are stored and displayed to your connected counterparty. BowReady does not process payments between hosts and cleaners; no money moves between you and your counterparty through the app.
- Subscription status, if you buy a paid plan, we record which plan you hold and when it renews. Payment card details are handled by the app store or our billing provider, not by BowReady (see Service providers).
Finding a Cleaning Pro (only if you take part)
BowReady has a directory that lets a host find a Cleaning Pro who covers their property. Being listed is off by default and nothing here is collected unless you choose to take part.
- A Cleaning Pro's listing, if they turn one on: their display or business name, logo, a summary of the area they cover, a headline and short description they write, the price range they usually ask, how many cleans they have completed in BowReady, and the date they were listed. Their phone number, email, street address, and payment instructions are not in a listing, and a host sees them only after the two of you connect.
- Their consent to be listed, recorded with the version of the listing terms they accepted and when. Publishing a Pro to hosts they have never met is a separate purpose from coordinating turnovers, so it takes its own express opt-in, which they can withdraw at any time by pausing or unlisting. We keep the record of what was agreed even after they unlist.
- Service area, where a Pro says they work and how far they travel. A host only ever sees Pros whose declared area reaches that property.
- Quotes, the price a Pro sends for a posted turnover. A quote is sealed: only the host who posted the turnover sees it. Pros cannot see each other's prices, and nothing is ranked or sorted by price.
- Reports and blocks, if someone reports a listing or blocks another user, we keep that report so we can act on it.
If you do not turn a listing on, none of this applies to you.
If you ask us to watch your area
- Your email address and the area you typed, if you use the form on our homepage asking to be told when a Cleaning Pro covers your area. You do not need an account. We use it for that one email and nothing else, we do not add you to any other mailing, and you can ask us to delete it at any time at [email protected].
Technical data
- Push notification tokens, a device identifier issued by Apple or Google so we can send you turnover reminders.
- Basic app and device information needed to operate and secure the service.
How we use your information
- To read your connected calendars and create one turnover per checkout.
- To assign turnovers to your cleaner (and backup) and keep everyone's status in sync.
- To send notifications, on assignment, a day before, and shortly before each deadline, and to cancel reminders that no longer apply.
- To let connected hosts and cleaners see each other's name and contact details you've chosen to share.
- To look up a property's address and time zone when you add one.
- To provide paid subscription plans and process their payment through the App Store, Google Play, or our web billing provider.
- To show a host the Cleaning Pros whose declared service area reaches their property, and to pass a sealed quote to the host who asked for it, if you have opted into being listed.
- To send account emails you need (your sign-in code, a password reset) and, separately, occasional product and summary emails you can switch off at any time.
- To operate, secure, debug, and improve the service.
We do not sell your personal information, and we do not use it for advertising.
Service providers
We share data only with the processors that run the app on our behalf:
- Supabase, our database, authentication, file storage, and backend functions (hosting our data).
- Expo, with Apple Push Notification service and Google Firebase Cloud Messaging, to deliver push notifications.
- Apple and Google, for Sign in with Apple and Google Sign-In.
- Google Maps Platform (Places), to look up a property's address and location when you add one.
- Apple App Store and Google Play, to process in-app subscription payments on their platforms.
- Stripe, to process subscription payments made through our web app.
- Resend, to deliver our email, both the account emails you need (sign-in codes, password resets) and the occasional product and summary emails described below.
These providers process data under their own terms and only as needed to provide their service to us. Some of them, including Supabase, Stripe, Resend, Apple, and Google, store or process data outside Canada, including in the United States. While it is there it is subject to the laws of that country. We use providers that commit to protecting it, but we cannot put it beyond the reach of a lawful foreign order.
Email you receive from us
Two kinds, and we keep them apart:
- Account and turnover email, such as a sign-in code, a password reset, or a notice about a job. These are part of the service and are not marketing.
- Product and summary email, such as your monthly recap, a note that a feature shipped, or a reminder that a clean is unpaid. Every one of these carries a one-click unsubscribe, and unsubscribing is honoured for that kind of email without affecting the account email above. You can also change these in the app under notification settings.
We do not sell, rent, or share your email address with anyone for their own marketing.
Cookies and analytics
Our marketing site sets no cookies, runs no advertising or social tracking pixels, and does not build a profile of you. If we measure site traffic we use Cloudflare Web Analytics, which is cookieless, collects no personal information, and does not fingerprint visitors. The app and web portal store a sign-in session on your device so you stay signed in; that is necessary for the service, not tracking. If that ever changes, we will say so here before it does.
Data retention
We keep your information for as long as your account is active. When you delete your account, we delete your profile and the data associated with it, except where we must retain limited records to meet legal obligations or resolve disputes.
Turnover photos are moving to a retention period of 200 days after the turnover date, after which they are deleted automatically. That period is the same on every plan, because a record should not disappear because a subscription lapsed. Where a turnover involved another person, we keep the record of the turnover itself so that they still have theirs.
Your choices and rights
- Access and correction, most of your data is visible and editable in the app.
- Account deletion, you can delete your account from within the app; this removes your profile and associated data. You may also request deletion by emailing us.
- Notifications, you can turn off push notifications in your device settings.
- Withdraw consent, you can unlist yourself from the Cleaning Pro directory, turn off product email, or close your account, at any time, without losing access to the rest of the service.
- Complain, if we have not handled your information properly, you can complain to us first and then to the Office of the Privacy Commissioner of Canada, or to your provincial regulator.
Depending on where you live, you may have further rights, and we honour them wherever you are rather than only where we must:
- Canada, under the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and, because we operate from Alberta, the Alberta Personal Information Protection Act (PIPA).
- Quebec, under the province's private-sector privacy law as amended by Law 25, including the right to be told what we hold, to have it corrected, and to ask for it in a portable form.
- United States, including California's CCPA as amended by the CPRA, and the comparable laws of other states. You have the right to know what we collect and why, to get a copy, to correct it, and to have it deleted. We do not sell your personal information and we do not share it for cross-context behavioural advertising, so there is nothing to opt out of, and we will never charge you a different price or give you a worse service for exercising a privacy right.
- An authorized agent may make a request on your behalf where the law allows it. We will ask for proof that you authorized them.
Children
BowReady is intended for adults managing rental turnovers and is not directed to children. We do not knowingly collect information from children.
Security
We use industry-standard measures, encrypted connections and access controls that restrict each user to their own data, to protect your information. No system is perfectly secure, but we work to keep your data safe.
Changes to this policy
We may update this policy as the app evolves. Material changes will be reflected here with a new "Last updated" date.
